Privacy Policy

Effective date: May 30, 2026 · Website: https://ocrfiles.online/

This Privacy Policy describes how OCR Files (“we”, “us”, “our”) handles information when you visit our website or use our online optical character recognition (OCR) tools, translation, and text-to-speech features. Please read it carefully before using the service.

1. Scope and acceptance

This policy applies to all visitors and users of OCR Files at ocrfiles.online and related pages. By accessing or using the site, you acknowledge that you have read and understood this Privacy Policy. If you do not agree, please discontinue use of the service.

2. Data controller

The data controller responsible for your personal information in connection with this website is the operator of OCR Files, Maulik Dadhaniya. For privacy-related inquiries, contact us at maulik.dadhaniya1995@gmail.com or via our Contact page.

3. Information we collect

3.1 Content you submit

When you upload images, PDFs, or other files for OCR, or when you submit text for translation or read-aloud, that content is transmitted to our servers for processing. We process it only to provide the feature you requested (for example, extracting text, translating, or generating speech). We do not use your uploaded documents to create public web pages or to sell your files to third parties.

3.2 Technical and usage data

Like most websites, our hosting infrastructure may automatically collect technical information such as IP address, browser type and version, device type, referring URL, pages visited, date and time of access, and error logs. We use this information for security, abuse prevention, performance monitoring, and troubleshooting.

3.3 Local storage on your device

The OCR tool may store a history of recent extractions in your browser’s local storage so you can reopen past results on the same device. This data remains on your device unless you clear browser data for our site or use the in-app option to clear history where available.

3.4 Cookies and similar technologies

We and our partners may use cookies, web beacons, or similar technologies for essential site operation, analytics, or advertising on informational pages. Where required by law (including in the European Economic Area, United Kingdom, and Switzerland), we request your consent before placing non-essential cookies. You can manage cookie preferences through your browser settings or any consent tool we display.

4. How we use your information

We use information for the following purposes:

We do not use your document content for automated decision-making that produces legal or similarly significant effects about you.

5. Third-party service providers

To deliver OCR, language translation, and voice synthesis, we send your submitted content to trusted third-party API providers under contractual terms appropriate for data processing. Our primary processing partner is Mistral AI (OCR, translation, and text-to-speech). Those providers process data according to their own privacy policies and applicable law — see Mistral AI Privacy Policy. We select providers intended for commercial API use and do not authorize them to use your content for unrelated purposes.

Our website may also be hosted on a cloud or VPS provider, which processes technical log data as part of hosting the service.

6. Advertising (Google AdSense)

We may display advertising through Google AdSense or related Google programs on pages that contain substantive publisher content (such as this Privacy Policy). Google and its partners may use cookies to serve ads, measure performance, and combat fraud. Learn more at Google Privacy Policy and How Google uses data from sites that use its services. We configure advertising to comply with AdSense program policies, including avoiding ads on empty tool-only or navigation-only screens.

7. Data retention

Uploaded files and processing payloads are retained only as long as necessary to complete your request and for a limited operational period for debugging or abuse investigation, unless a longer period is required by law. Server logs are retained for a limited time consistent with hosting and security practices. Local storage on your device persists until you delete it.

8. International transfers

Your information may be processed in countries other than your own, including countries that may not provide the same level of data protection. Where required, we rely on appropriate safeguards such as standard contractual clauses or equivalent mechanisms.

9. Security

We use HTTPS encryption in production and implement reasonable administrative and technical measures to protect data. No method of transmission or storage is completely secure; you use the service at your own risk, especially when uploading sensitive personal, financial, or health information.

10. Your rights

Depending on your location, you may have rights to access, rectify, erase, restrict processing, object to processing, or port your personal data, and to lodge a complaint with a supervisory authority. To exercise these rights, email us with sufficient detail to identify your request. We will respond within the timeframes required by applicable law.

11. Children’s privacy

OCR Files is not directed at children under 13 (or the minimum age required in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has provided us data, contact us and we will take steps to delete it.

12. Changes to this policy

We may update this Privacy Policy from time to time. The “Effective date” at the top will indicate when changes take effect. Continued use after changes constitutes acceptance of the updated policy. We encourage you to review this page periodically.
